Fleet Filter Checklist

Prepare a filter purchase list grouped by equipment, part number, stock requirement and maintenance date.

Maintenance procurement

Build a usable filter list

  1. List each machine and engine by serial number.
  2. Record one original part number per line, with its filter type and quantity.
  3. Separate urgent requirements from planned stock.
  4. Confirm OEM cross-references before combining lines.
  5. Provide destination, receiving contact and requested date.
Ask about bulk sourcing

Start with a machine register

Give each machine a clear internal ID. Record the machine serial, engine serial and relevant housing references. Keep track of which units are active at each location. If an engine or assembly is replaced, update the register before using an older parts list to reorder.

Build a list of the service positions for each asset. A single machine can require a primary air element, a safety element, engine oil and fuel filters, and more than one hydraulic element. Keep the positions separate until the references have been confirmed.

Turn service requirements into purchase lines

Use one row per confirmed reference and include the quantity per service, the number of assets and any spare stock required. Keep urgent breakdown requirements distinct from scheduled work. If items are needed at different locations, capture the destination on the corresponding line.

Compare supplier offers line by line. Check the exact reference, whether a quoted alternative was verified, what is included and what needs a separate order. Record the expected availability for each line before planning a service window.

Close the loop when parts arrive

Compare the delivered label and quantity with the accepted quote. Flag substitutions or damaged packaging for review before distributing stock. Retain the part label data and receiving record so the workshop knows which reference was supplied for each asset.

After service, reconcile what was fitted and what remains in stock. A useful record shows the installation date, asset ID and confirmed reference. The next purchase can then start with the actual service history and current stock count.
